One Vision, Two Focuses: Leisure Centre Service Standards and Risk
You want two things from your building. You want everyone who walks in, staff and customers, to go home safe. And you want them to love their visit so much that they come back and bring a friend.
Those are two different jobs, each with its own owner and its own way of measuring success. The skill is seeing both at once. That’s what we’re building OpsPal to do: give you one clear vision of your organisation, from compliance checks to leisure centre service standards, then focus it on the two areas that matter most. Risk keeps you safe. Service keeps them coming back.
One clear vision of your organisation
Imagine opening your operations dashboard at 2pm on a Saturday. Green, amber and red show what’s done, what’s due and what’s slipped across every site. One amber item catches your eye, so you drill into that site and see exactly who, what and when. The changing room issue was logged with a photo at quarter past six, the right person got an email the moment it went in, and it’s already sorted. Nobody had to ring anyone.
That live picture is the starting point. From there, we focus it on two key areas and give each one a clear structure to run on.
Focus one: Risk, covered by risk flows
Risk is everything that keeps your customers and staff safe. We cover it with risk flows, and every hazard in your building follows the same four steps. A risk assessment spots the hazard and sets the controls. A procedure tells your team what to do. A checksheet proves it’s been done. A named role owns it.
The Health and Safety Executive describes the first part simply as finding the hazards, judging the risk and controlling it. The risk flow carries that all the way through to the person who signs it off, so you can show your insurer or assessor exactly what happens on any day of the week.
In OpsPal, the Risk app holds your risk assessments, COSHH, risk policies and procedures, and risk records. We build the framework section by section across your building, so you always know what comes next.
Focus two: leisure centre service standards, covered by six service pillars
Service is everything that makes you the best, so your customers love every visit. We cover it with six service pillars, built department by department: reception, fitness, aquatics, catering, cleaning, sales and membership, duty management and more. Here’s what they look like in the gym.
- Procedures. What’s written down and followed. In the gym, that’s how every new member is inducted: health screening, programme design, equipment orientation and a follow-up in the first week.
- Standards. What great looks like, written so a manager can see it and test it. For example, gym floor staff make proactive contact with members at least once an hour, and every new member hears from you within seven days.
- KPIs. What you measure. A leading indicator, such as the percentage of new members who got that seven-day follow-up, changes behaviour this week. A lagging one, such as the new member 30-day return rate, confirms the result.
- Meetings. The shift briefings, monthly one-to-ones and quarterly team meetings that keep standards alive.
- Audits. How you check it’s working: a monthly gym floor observation, a regular spot-check of personal training client screening and a quarterly member survey.
- Operational tasks. What happens every day to make the other five real, such as the pre-opening gym floor walkthrough and the hourly floor engagement rounds. They sit in OpsPal as a coded task list, so standards run every day and not once a year. The Service app holds your standards, service procedures, policies and meeting templates, with the same version control, staff acknowledgement and review reminders you’d expect from a risk assessment. Your leisure centre service standards can be written, trained, signed for and reviewed on a set date, just like the safety side.
Why each focus has its own app
OpsPal now organises your documents by purpose, in two apps built around those two focuses. They replace our separate risk assessment and procedures apps. Our amazing customers asked us for this, so we built it. Here’s what it gives you.
Each area gets the right owner. Risk usually sits with health and safety and operations. Service sits with commercial, customer experience and front-of-house leads. Your commercial or customer experience lead can own your leisure centre service standards in a space designed for the job.
You see where to look first. A missed pool test and a missed table wipe carry different consequences. Keeping them apart lets the serious stay visible and the everyday stay tidy.
Your reporting tells you the truth. Split reporting shows which side of the business is strong and which needs attention, so you can act on it.
Grey areas will come up. Cleaning, for example, is a hygiene risk and a presentation standard. Our tie-break is simple: if it can hurt someone or breach a law, it’s risk. If you’re unsure, start in risk.

What this means for you
If you lead the business or the budget, risk is the promise you keep to your staff and customers, and service is the experience they tell their friends about. Having both in one place gives your commercial and front-of-house teams a reason to use OpsPal every shift and gives your board one view of both sides.
Record tagging is coming within the next couple of months. Records and documents in both apps will carry tags, so Risk and Service can be reported across your whole organisation, with one view of what’s current and what’s overdue on each side. It’s coming soon, not live today, and I’d rather tell you that plainly.
Schemes such as Quest, ukactive TAS and Ireland Active focus heavily on health and safety, with some focus on service. Our customers’ feedback has helped us get ahead of that curve, so the evidence for both builds as you go. Our leisure accreditation software page shows how.
If you don’t have a framework in place yet, we can help you build one for each area.
This is OpsPal’s founding belief in product form: concentrate on service, and money is a by-product. Now service has the same home as safety.
Monday Morning Action
Pick one department and walk its leisure centre service standards through the six pillars. Ask six questions, one per pillar. Which procedure does your team follow? What does ‘great’ look like, written down? What do you measure? Which meeting keeps it alive? How do you check it’s working? Which daily task makes it happen?
Then do the same for your most important risk flow: the assessment, the procedure, the checksheet and the named owner. However many of those answers come straight to mind, you’ve just drawn your first clear picture of both sides of your building.
