Core Features
Digital risk assessment library with flexible formats, colour‑coded review dates and staff acknowledgement tracking if updated or not yet read. Review reminders start 30 days before due dates, with full audit trails ready for assessors.
Cloud‑based SOPs, NOPs and EAPs with version control, red/green change highlighting and in‑app notifications when procedures are updated. Staff always see the current version, and multi‑site operators can roll out updates to every location within seconds.
One‑off and recurring tasks with clear green/amber/red/grey status, live dashboards and weekly reminders for anyone with outstanding tasks or readings. Managers can run log reports and missed‑task reports by date range instead of chasing paper checklists.
Eliminate manual spreadsheets. OpsPal's digital operations software tracks staff certifications with three visibility levels (individual, site, and organisation). The training matrix shows qualification status across sites with colour-coded expiry indicators. Training records are linked to staff profiles, enabling managers to see competency when making assignments and ensuring informed decisions about who completes regulated activities.
No problems overlooked or forgotten. Quick issue logging with photo evidence, automated reminders if updates are missed. View all problems across your digital operations platform grouped by status.
Holistic views of your entire operation — organisation level showing patterns across all sites, site level with detailed drill-down (who, what, when) accessible in seconds, and individual level through staff profiles. Digital operations dashboards showing live compliance status, outstanding tasks, and performance metrics. Organisation level focuses on high-level patterns; site level reveals specific detail with just a few clicks.
Single Sign-On (SSO) and Multi-Factor Authentication (MFA) streamline secure access. Staff log in once using Microsoft Entra ID to access all systems—eliminating password fatigue and credential sharing. MFA protects sensitive areas like incident reports and staff records. Insurers and auditors are increasingly expecting it, and OpsPal delivers it as an option, safeguarding your organisation.

Frequently Asked Questions
OpsPal is digital operations software that is changing the landscape of how businesses operate. Please review some of our FAQs.
How much disruption will OpsPal cause to our day-to-day operations during implementation?
Minimal disruption. OpsPal is designed for a phased rollout over approximately 2 weeks to 2 months. You can continue using our existing systems while we transfer your documents and train your team. Most clients run both systems in parallel for a short period before fully transitioning. Staff training takes just 6 minutes per person, and the system is intuitive enough that most team members are confident using it within their first shift.
Can we trial OpsPal before committing to a full licence?
Yes. We offer demonstrations and can arrange trial periods for organisations considering OpsPal. Contact us to discuss your requirements – we’re happy to show you the system in action and help you assess whether it’s the right fit for your operation. Many clients find that seeing their own procedures loaded into OpsPal during the demo helps them visualise the benefits immediately.
Beyond the licence fee, are there any hidden costs?
No hidden costs. The annual licence fee covers unlimited users, system updates, standard support, and cloud hosting. You won’t pay extra for adding staff, creating additional documents, or increasing usage. The only additional cost would be for extra sites beyond your main facility, which is transparently priced as an add-on. There are no per-user fees, no transaction fees, and no surprise charges.
How quickly can we expect to see return on investment?
Most clients report immediate time savings in three key areas: management oversight (real-time dashboards eliminate time spent chasing updates), staff induction (digital training matrices reduce induction time by 40-60%), and compliance management (automated tracking saves hours of manual record-keeping weekly). A typical leisure centre with 50+ staff members often recovers their annual investment within 3-4 months through operational efficiency gains alone – before factoring in risk reduction and improved compliance.
What support do you provide during and after implementation?
We provide hands-on support throughout your implementation, including document transfer assistance, staff training sessions, and configuration support. Post-launch, you have access to our support team via email and phone. We also provide regular system updates, training resources, and best practice guidance. Many clients appreciate that we understand leisure operations – we speak your language.
Do I need to pay for each user?
No, we want organisations using OpsPal to have all their members of staff on the system across all levels if the business including i.e. cleaners, managers, part-time, full-time, and casual staff. Everyone should be using OpsPal. We believe every member of the organisation is vital to the smooth and successful running of your business. Add as many staff users as you need at no extra cost.
What happens if we don’t have a good internet connection?
OpsPal is a live cloud-based system that requires WiFi or internet connectivity at all times — there is no offline mode. All changes happen in real-time across all sites. In the event of poor or interrupted connection, OpsPal will not update until connectivity is restored. For poolside or plant room areas with weak WiFi, WiFi repeaters solve connectivity challenges effectively.
Will we need any more hardware?
OpsPal can be used on existing hardware, which is an internet-connected device, such as a computer, laptop, smart phone, or tablet. OpsPal is fully mobile responsive, meaning that the screen size will automatically adjust depending upon the device screen being used.
What is the cost?
OpsPal is priced as an annually renewable licence fee based upon an organisation having at least one main site. Additional sites can be added as add-on’s at a reduced additional cost. Please contact us directly for a tailored quote for your organisation.
How quick can we be up and running with OpsPal?
OpsPal is designed for a phased rollout over approximately 2 weeks to 2 months, depending on your organisation’s complexity. Staff training takes just 6 minutes per person, and the system is intuitive enough that most team members are confident using it within their first shift. You can continue using existing systems while we transfer documents and train your team.
Can we transfer existing forms and documents over?
Yes, OpsPal makes it simple to upload or copy and paste from existing forms and documents.
Where will your data be stored?
The data is stored on the AWS (Amazon Web Servers) in London, we use the same servers as Netflix and other big players to ensure that your data is safe at all times.
Can we use different types of media in the procedures app?
Yes, you can use text, images, or video within the Procedures and Tasks apps. We recommend using videos, as more OpsPal users are preferring digital content to quickly and visually relay exactly the information they require to staff, providing consistency of materials, training and standards that can easily be updated if required.
