Risk Assessments, Procedures, Training and Tasks in One System

Know which risk assessments are out of date before your assessor does.

Digital risk assessment library with colour-coded review dates — green, amber, red.

Staff acknowledgement tracking shows who has and hasn't read an updated assessment.

Full audit trail ready for Quest, ukactive TAS and HSE inspections. Review reminders start 30 days before each due date.

Your NOPs and EAPs, version-controlled and acknowledged.

Cloud-based SOPs, NOPs and EAPs with before/after change highlighting and in-app notifications when procedures are updated.

Multi-site operators roll out updates to every location within seconds.

Staff always see the current version – not the one from COVID that's still in the folder.

Stop chasing paper checklists. See what's done, what's overdue, and who did it.

One-off and recurring tasks with green/amber/red/grey status on a live dashboard. Weekly reminders go to anyone with outstanding tasks or readings. Missed-task reports by date range. Staff sign to confirm they've understood expectations before completing each task — so nobody completes a task without acknowledging the required training.

Tracks NPLQ, First Aid, Level 2/3 Gym, Group Exercise, DBS and coaching qualifications with 90-day expiry warnings.
Three visibility levels: individual staff, site, and organisation-wide. Training records are linked to staff profiles — so when a new team member takes over, their gaps are immediately visible. No more qualification spreadsheets.

Quick issue logging with photo evidence.
Immediate email to the assignee when a problem is logged.
Managers see outstanding problems in the dashboard.
If an assignee misses their own deadline, OpsPal flags it automatically and moves the problem back to action required — with a visual alert for the manager.

Organisation level shows compliance status across all sites — useful for senior management and trustees.
Site level shows who, what and when — the detail a duty manager needs before a shift. Drill down in seconds, not hours. Live data, not last month's report.

Microsoft Entra SSO and MFA built in. Staff log in once, access everything they need. GDPR-compliant, UK data residency, encrypted in transit and at rest.
Role-based access so staff see what's relevant to them — and nothing they shouldn't.

Easy to use

Built for UK Leisure Centres, Universities and Sports Facilities

Easy to Set Up Digital operations software should not require six‑month projects. OpsPal lets you upload or copy and paste existing procedures, risk assessments and checklists so you can go live quickly. Most teams start with a phased rollout over a few weeks, running OpsPal alongside existing systems before switching fully

Built for Frontline Teams Staff log in on their preferred device, see the tasks and readings assigned to them, and access the procedures and training linked to each task. It is almost like having all your induction information and site‑specific guidance in one place, available wherever and whenever they need it.

Communication Communication happens through live dashboards, in‑app bell notifications and targeted emails rather than noisy escalation chains. Procedure and risk assessment updates generate in‑app notifications; new problems send an immediate email to the assignee; weekly reminders go to anyone with outstanding tasks or readings; and managers receive overview emails weekly or monthly.

Real-Time Intelligence Organisation, site, team and individual views are available to the people who need them, with complete audit logging on all activities. Managers can add problems and quick tasks on the move, capture photos and see digital operations dashboards showing what is happening right now, not last month. Most users complete about six minutes of training and are confident using the system on their first shift.

Users will be guided through 6 minutes of training, and they will be ready to use the system.

Straightforward for users logging in on their preferred device. Users can view the current tasks assigned to them and access any information they need to support them in their job role. It’s almost like having all your induction information available to you wherever and whenever you need it.

Digital operations software for the boardroom

Built for leisure centres. Spreading everywhere else for a reason.

OpsPal was built for the specific challenges of running leisure centres, swimming pools, university sport facilities and sports clubs. That’s where we started, and it’s where most of our customers are. But something keeps happening. A university sport department starts using OpsPal. They turn up to meetings more prepared than their peers. Those peers ask what they’re using. Word gets out. Other departments — catering, facilities, estates — start asking if they can use it too. It turns out that when an operations platform genuinely works for a complex, regulated environment like a leisure centre, it works just as well for a university catering outlet or a multi-site charity. We haven’t pushed into those sectors. They’ve found us.”

Multi-Site Franchises Franchise groups use OpsPal for multi-site operations management — maintaining consistent operational standards across multiple locations. Digital operations software ensuring every franchisee follows brand standards, safety requirements, and compliance obligations.

Education & Universities University sport departments discovered OpsPal through their compliance challenges. Other departments followed — catering, estates, facilities. The same operational principles work across a campus as they do across a leisure trust.”

Frequently Asked Questions

OpsPal is leisure operations software built specifically for UK leisure centres, universities and sports facilities. Browse our most frequently asked questions below.

How much disruption will OpsPal cause to our day-to-day operations during implementation?

Minimal disruption. OpsPal is designed for a phased rollout over approximately 2 weeks to 2 months. You can continue using our existing systems while we transfer your documents and train your team. Most clients run both systems in parallel for a short period before fully transitioning. Staff training takes just 6 minutes per person, and the system is intuitive enough that most team members are confident using it within their first shift.

Yes. We offer demonstrations and can arrange trial periods for organisations considering OpsPal. Contact us to discuss your requirements – we’re happy to show you the system in action and help you assess whether it’s the right fit for your operation. Many clients find that seeing their own procedures loaded into OpsPal during the demo helps them visualise the benefits immediately.

No hidden costs. The annual licence fee covers unlimited users, system updates, standard support, and cloud hosting. You won’t pay extra for adding staff, creating additional documents, or increasing usage. The only additional cost would be for extra sites beyond your main facility, which is transparently priced as an add-on. There are no per-user fees, no transaction fees, and no surprise charges.

Most clients report immediate time savings in three key areas: management oversight (real-time dashboards eliminate time spent chasing updates), staff induction (digital training matrices reduce induction time by 40-60%), and compliance management (automated tracking saves hours of manual record-keeping weekly). A typical leisure centre with 50+ staff members often recovers their annual investment within 3-4 months through operational efficiency gains alone – before factoring in risk reduction and improved compliance.

We provide hands-on support throughout your implementation, including document transfer assistance, staff training sessions, and configuration support. Post-launch, you have access to our support team via email and phone. We also provide regular system updates, training resources, and best practice guidance. Many clients appreciate that we understand leisure operations – we speak your language.

No, we want organisations using OpsPal to have all their members of staff on the system across all levels if the business including i.e. cleaners, managers, part-time, full-time, and casual staff. Everyone should be using OpsPal. We believe every member of the organisation is vital to the smooth and successful running of your business. Add as many staff users as you need at no extra cost.

OpsPal is a live cloud-based system that requires WiFi or internet connectivity at all times — there is no offline mode. All changes happen in real-time across all sites. In the event of poor or interrupted connection, OpsPal will not update until connectivity is restored. For poolside or plant room areas with weak WiFi, WiFi repeaters solve connectivity challenges effectively.

OpsPal can be used on existing hardware, which is an internet-connected device, such as a computer, laptop, smart phone, or tablet. OpsPal is fully mobile responsive, meaning that the screen size will automatically adjust depending upon the device screen being used.

OpsPal is priced as an annually renewable licence fee based upon an organisation having at least one main site. Additional sites can be added as add-on’s at a reduced additional cost. Please contact us directly for a tailored quote for your organisation.

Yes, you can use text, images, or video within the Procedures and Tasks apps.
